1. Who we are
This website (kiteskraft.com) is run by Kiteskraft Productions LLP (“we”, “us”), SCF 126, Phase 1, Urban Estate, Chandigarh Road, Ludhiana, Punjab, India – 141010. This policy explains what personal data we collect through the website, why we collect it, who we share it with, how long we keep it and the choices you have. It is written with India’s Digital Personal Data Protection Act, 2023 in mind.
2. What we collect
We only collect what you choose to send us through the forms on this website, plus basic technical data that every website receives.
- Contact and media-feature enquiries: your name, email address, phone number (optional) and message. For media-feature enquiries, also the publications you are interested in and your budget range.
- Job applications (Careers page and “Join our team”): your name, email address, phone number, city, the position you are applying for, your experience, an optional portfolio or LinkedIn link, your message and your CV.
- Honorary doctorate applications: your name, email address, phone number, city, country, postal address, designation, organisation, area of expertise, years of experience, preferred university, whether someone nominated you (and their name and contact details), your achievements, your interest in a PhD or Master’s programme, your CV and your photograph.
- WhatsApp: if you tap “Let’s chat”, the conversation takes place on WhatsApp. We see your WhatsApp name, number and the messages you send.
- Asian Excellence Awards nominations: your title, name, organisation, phone number, email address, address, GSTIN (optional), sector, award category, your interest in an honorary doctorate, and the payment reference, status and amount. Your card or bank details are entered in Razorpay’s secure payment window; we never see or store them.
- Technical data: our hosting provider’s servers keep standard logs (IP address, browser type, pages requested and the time of the request) for security and to keep the website running. We do not use analytics, advertising or tracking tools.
Please do not send us sensitive information (such as health, financial or identity-document details) through the website forms.
3. Why we use it
- To reply to your enquiry and send you information or a quote you asked for.
- To review your job application and contact you about it.
- To process your honorary doctorate application, including passing it to our partner universities.
- To process your Asian Excellence Awards nomination and its payment, confirm it to you, and issue a refund if your nomination is not selected.
- To send you an email confirming that we received your submission.
- To keep the website secure and protect it from spam and misuse.
We process your data on the basis of the consent you give when you submit a form (application forms include a consent box). You can withdraw your consent at any time by writing to us; this does not affect anything we did before you withdrew it, but we may then be unable to continue with your enquiry or application.
4. Who we share it with
We do not sell your personal data. We share it only where needed for the purposes above:
- Our team: form submissions are emailed to the relevant Kiteskraft Productions LLP staff mailboxes and stored on our server.
- Partner universities: honorary doctorate applications are shared with the university you apply to. Some partner universities are outside India (for example in Denmark and Mexico), so your application may be transferred to those countries.
- Publications and media partners: for media-feature enquiries, only once you have agreed to go ahead with a feature.
- Service providers: Hostinger (website hosting and email), Razorpay (payment processing for Asian Excellence Awards nominations),WhatsApp / Meta (for chats you start), and Google (the maps on our contact and Asian Excellence Awards pages, and the website fonts).
- Authorities: where we are required to by law.
5. Cookies and browser storage
This website does not set cookies for visitors. If you switch between light and dark mode, your choice is saved in your browser’s local storage (under “kk-theme”) and stays on your device. The Google maps on the contact and Asian Excellence Awards pages, Google Fonts, and the Razorpay payment window on the nomination page may collect technical data or set cookies under their own privacy policies. The staff-only admin area uses a session cookie for signed-in staff.
6. How long we keep it
- Contact and media-feature enquiries: up to 12 months after we receive them.
- Job applications and CVs: up to 12 months after you apply.
- Honorary doctorate applications, CVs and photographs: up to 12 months after you apply.
- Asian Excellence Awards nominations and payment records: for as long as needed for accounting, tax and legal purposes.
- Server logs: for the period set by our hosting provider.
You can ask us to delete your data sooner (see section 8).
7. How we protect it
The website is served over a secure (HTTPS) connection. Submissions and uploaded files are stored in server folders that cannot be opened from the web, and only authorised staff can see them, through a password-protected admin area. No method of storage or transfer is completely secure, but we work to protect your data.
8. Your rights
You can ask us to:
- give you a summary of the personal data we hold about you and how we use it;
- correct, complete or update it;
- delete it;
- stop using it, by withdrawing your consent;
- let a person you nominate exercise these rights for you in the event of your death or incapacity.
To make a request or raise a concern, write to our Grievance Officer (section 12). We will reply within the time required by law. If you are not satisfied with our response, you may complain to the Data Protection Board of India.
9. Children
Our services are meant for adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us their details, please contact us and we will delete them.
10. Other websites
This website links to our event websites, publications, partner sites and social media pages. Those sites have their own privacy policies, and we are not responsible for how they handle your data.
11. Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top shows when it last changed.
